Privacy Policy
Last updated: March 28, 2026
This Privacy Policy describes how Kognit doo (ExcelToWords, “we,” “us”) collects, uses, and shares information when you use our website and services.
Registered address: 32300 Gornji Milanovac, Serbia
1. Information we collect
1.1 Account and profile information
If you create a local account, we may collect:
- Username and email address
- First and last name (if you provide them)
- A password hash (we do not store your password in plain text)
- Account status (for example whether your email is verified or the account is enabled)
If you sign in with Google, we receive information from Google as part of that login flow (such as identifiers and profile details Google shares with us). You may not have a separate password on our service.
1.2 Content you upload
You may upload Excel and Word template files so we can generate Word documents. That content may include personal or confidential data depending on what you choose to upload. You are responsible for having a lawful basis to upload it.
1.3 Usage, support, and communications
- Try without an account: You may be able to use limited features without registering. In that case we still process the files you upload, but we typically do not tie that activity to a named user profile in our database the same way as for signed-in users.
- Transformation activity: For signed-in users we may log successful and failed document-generation requests, including timestamps, request identifiers, uploaded file names, duration, and error messages where applicable. We use this to operate the service, enforce plan limits, investigate issues, and protect against abuse.
- Contact form: If you contact us, we process the information you send (such as name, email, and message).
- Email: We send operational emails (for example verification, password reset, subscription-related notices, and replies to support). You can control marketing emails where applicable by following unsubscribe instructions.
1.4 Technical data
Like most websites, we collect technical data such as IP address, browser type, and cookies or similar technologies needed to run the site (for example session cookies when you stay logged in). We do not use this policy to describe third-party advertising trackers unless we add them explicitly in the future.
We may apply automated protections (for example rate limiting) to reduce abuse during registration or other sensitive actions.
2. How we use information
We use the information above to provide and improve the service, authenticate users, process uploads, deliver downloads, manage subscriptions and billing relationships, communicate with you, secure our systems, comply with law, and enforce our terms.
3. Legal bases (EEA/UK users)
If applicable law requires a “legal basis,” we rely on one or more of: performing our contract with you, legitimate interests (such as security, fraud prevention, and service improvement), consent where required, and legal obligation.
4. Retention
Uploaded files and generated outputs are intended for temporary processing. They may remain on our servers for a short time while processing completes and may be removed on a scheduled cleanup cycle (see server configuration for retention windows). We retain account and subscription records, transformation logs, and support communications as needed to operate the service and meet legal or security requirements unless you ask us to delete them where the law allows.
5. Sharing and subprocessors
We use service providers to host and operate the service. Depending on your actions, this may include:
- Payment processing: Paid plans are handled by our payment processor (Paddle). We do not receive your full payment card number from them.
- Authentication: Google OAuth when you choose that sign-in method.
- Email delivery: Our email provider to send transactional messages.
We may disclose information if required by law, to protect rights and safety, or as part of a business transfer (for example merger), subject to applicable law.
6. International transfers
Your information may be processed in countries other than where you live. Where required, we use appropriate safeguards (such as standard contractual clauses) or rely on exceptions permitted by law.
7. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, export, or restrict processing of your personal data, and to object to certain processing. To exercise these rights, contact us using the details below. You may also lodge a complaint with your local supervisory authority.
8. Children
The service is not directed to children. We do not knowingly collect personal information from children below the age at which parental consent is required in your region.
9. Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date.
